What costs extra

Every plan carries every ministry module and unlimited staff logins. Three things can cost more, each below: an app add-on, the short links and web address of larger plans, and your providers' charges.

The Church Flow App add-on: half your plan's price again

With the add-on, members install the Church Flow App and see your church's name, logo, colours and content. During your trial the add-on costs nothing until you subscribe. With the add-on, members on Android give in the app, and on iPhone and iPad the Give button opens your giving page.

Your Own App, an app in your church's own name

Your Own App costs R2 500 once-off, then your plan's price plus 75% a month in place of the 50%: R523.25 in all on Rooted. It puts your church's name and icon in the App Store and Google Play, under store accounts your church owns. We build and submit every update.

It goes live roughly 4 to 8 weeks after we receive your documents. The 75% starts that day; until then your price stays as it is, with the Church Flow App included. The once-off fee covers the full setup, Google Play's registration fee included. Apple's yearly developer fees are extra unless Apple waives them, as we ask it to for every registered nonprofit.

Short links and your own web address

Short links through relinx.me with your own word, such as relinx.me/welcome2026, come with Growing (up to 300 people) and up. Your own web address for your website or portal comes with Thriving (up to 750 people) and up.

Messages and gifts

Text messages, WhatsApp and email go through your own accounts with those providers, and they bill you directly. Or send texts through Church Flow SMS from prepaid credits, priced per text on your portal's Messaging credits page. R25 of starter credit is added once, when your church is on a paid plan with Church Flow SMS switched on. Gifts reach your church through its own payment account: Church Flow adds no fee on donations, and you pay only your payment provider's charges.

  • Events & Check-in: events with sign-ups, children's check-in with security labels and pickup codes, services and volunteer scheduling
  • Pipelines & Follow-up: visitor pipelines that send WhatsApps, texts and emails for you, and follow-up queues that escalate anyone left waiting past the time you set
  • Giving: online giving through your own payment account, pledge campaigns, batch counting and year-end statements
  • Communications & Web: one inbox for WhatsApp, SMS and email, mass messages with opt-outs handled, a website builder, sermons and forms

Moving your records across

Bring your people, families, custom fields, tags, giving, groups and notes from your current church software, a spreadsheet or phone contacts. Some church software connects directly and Church Flow pulls the data across; from the rest you upload an export file. You review everything before it is saved, and you can undo an import for 30 days. If your old exports are messy, upload them from the portal, up to 10 files of 50 MB. Our team maps them for you to approve, free.

Before you commit

Not during the trial: no card is asked for when you sign up. If you subscribe, you pay by card from your account page. Your first payment is your plan's price, plus any add-on you turned on. If you do not subscribe, nothing is charged when the 30 days end.

Nothing is charged. Subscribe before the 30 days end and nothing pauses. If you don't, your workspace pauses about a day later, with everything kept, and your church website, giving page, app and member sign-in stop. Subscribe at church-flow.com/account within 40 days of the pause and it all comes back as it was.

Choose the plan for how many people attend on an average Sunday: adults and children, all your services and campuses together. If your church outgrows its plan, we tell you first. The next plan then starts from your next billing date, and if you think your plan still fits, reply and we talk it through. Once your plan is paid, you can also move up yourself from your account page at any time.

Yes, a separate one: each plan has room for six times its Sunday size in people records, 1 200 on Rooted. Every record you keep counts toward that room, members, visitors, children and inactive people alike, until you delete it. At the limit, people still come in from forms, sign-ups, the app and check-in. Adding people by hand, imports and new family members wait until you move up a plan.

No contract: monthly plans run month to month, and a year costs ten months' price, paid up front. Fees are not refunded, so you might start monthly. Move to a year once you know Church Flow fits; it starts when your current month ends. To cancel, sign in at church-flow.com/account, open Cancel, tick the box and press Cancel subscription.

Yes, once your plan is paid. Moving up applies at once, with credit for the time you have already paid; moving down takes effect at the end of your billing period.

We email you that day and again three and seven days later, and your workspace stays open. If the payment still has not gone through by day 10, the workspace is suspended, and on day 40 the subscription is cancelled. You can pay from your account page at any point.

No: your church website has a member area on any plan. Members sign in with a one-time code or a password. There they manage their profile and household, check children in, and see their giving, statements, tickets and groups. Nothing to install, and nothing extra to pay.

While your workspace is open, you can export your people, contacts, giving, events, forms and website content at any time, as CSV and JSON. Check-in and group reports download on their own. After you cancel, the workspace stays open to the end of your paid period. Then it is suspended with nothing deleted, and for 90 days our team can export everything for you or switch it back on.

  • No refunds: cancelling stops the next payment
